Eftsure’s marketing team is growing, and we’re looking for a highly organised Project Manager to keep work moving smoothly across the team.
You’ll own the marketing planning and design workflow and delivery end-to-end: building clear plans, managing deadlines, coordinating stakeholders, tracking budget and spend, and ensuring the team has visibility through reliable reporting. You’ll also support the operational “glue” of the marketing function keeping calendars, documentation, and coordination tight so the team can execute at speed.
This is a hands-on role for someone who enjoys creating order, momentum, and clarity filtering chaos, improving process, and enabling the team to do their best work.

What you’ll do
Project & workflow management
Own the marketing delivery process end-to-end: intake, prioritisation, planning, execution, and retros.
Build and maintain project plans, timelines, dependencies, and clear owners for each deliverable.
Run bi-weekly planning, stand-ups, and check-ins to keep projects on track and unblock the team.
Schedule and coordinate quality control, governance, and approval reviews.
Push back on unrealistic deadlines, clarify requirements, and prevent scope creep.
Workflow management
Manage the marketing work queue: what’s coming in, what’s in progress, what’s blocked, and what ships next.
Maintain a single source of truth for marketing work in our project management tool Notion.
Ensure briefs from other teams are clear, approvals are scheduled, and handovers are clean and well-documented.
Maintain the central marketing calendar and key delivery milestones.
Marketing operations & team coordination
Coordinate calendars, meetings, and key marketing ceremonies (planning sessions, reviews, retros).
Prepare agendas, capture notes, track actions, and follow up to ensure momentum.
Maintain organised file structures, naming conventions, and version control across shared drives and tools.
Support onboarding for new marketing hires (docs, access, templates, ways of working).
Help maintain SOPs, checklists, templates, and internal documentation.
Budget & spend tracking
Track marketing budgets and spend across channels and projects (e.g. content, creative, contractors, tools, paid media support).
Maintain simple, accurate reporting on spend vs budget and flag risks early.
Support forecasting and cost visibility for upcoming initiatives.
Reporting & visibility
Produce regular reporting that gives the team and leadership confidence: project status, deadlines, capacity, risks, and spend.
Create lightweight dashboards and weekly updates that reduce noise and increase clarity.
Assist with simple weekly and monthly summaries where needed.
Process improvement
Identify bottlenecks and implement practical improvements to how the team works.
Build and refine templates (briefs, campaign plans, launch checklists) that raise quality and save time.
Continuously improve clarity, consistency, and efficiency across marketing operations.
What we’re looking for
Marketing background required — you understand campaigns, channels, creative workflows, and marketing dependencies.
3+ years’ experience in marketing project management, traffic management, marketing operations, or coordination (agency or in-house).
Strong Notion skills (databases, templates, views, simple dashboards).
Highly organised with exceptional attention to detail—deadlines, follow-ups, and documentation are second nature.
Confident, diplomatic communicator who can coordinate stakeholders and keep things moving.
Comfortable working with numbers: budgets, spend tracking, and basic reporting.
Ability to manage multiple projects and priorities with calm, practical judgement.
High level of discretion when handling sensitive or confidential information.
Nice to have
Experience working with creative teams (design, copy, video) and approval workflows.
Familiarity with tools like Jira, Asana, Trello, Slack, Google Workspace, and basic reporting dashboards.
Experience supporting paid media or campaign workflows (briefs, creative requests, timelines).
Experience supporting events, sponsorships, or launches.
Interest in continuously improving marketing operations and ways of working.
